Hold reasons can be created to help manage and classify your archived assets that you want to ensure are retained. Assets that are on hold for at least one reason are not subject to any active retention policy for your archive and thus will not be purged until all holds have been released from the asset.
The View Archive comes pre-populated with a few hold reasons to get you started (Active Litigation, Compliance Violation, Data Loss Prevention, Hold in Place, Knowledge Retention & Transfer). Any user with the Compliance Officer Role or Administrator can create or modify hold reasons. Due the sensitive nature of Hold Reasons, once created they cannot be deleted.
To create a new hold reason, simply select the "New" button on the left hand navigation menu from any where in the application. Select "Hold Reason" and provide a unique Name for your hold reason, this will be how it will be identified in the future for system users to apply this hold reason to an asset or an entire saved search. You can also add a more detailed description to the hold reason to provide further clarification. Once this information has been entered, select "Save" and the hold reason can be utilized immediately throughout your archive.
