View Archive's auditing report service will provide details of activities that are performed upon your archive account.
To display a list of any previously created reports navigate to the settings cog at the top right and click Manage for the Reports section.
Create an audit report:
To create a new report, select '+ New' at the bottom right of the list of existing reports
- Audits are auto named, however you can choose your own if required.
- You must select a date range for the audit to be run over.
- You can select as many of the options available as you require for your audit report.
- Once options have been selected, click the Create button. The audit creation request will run in the background. Once completed, the report will be available to download as a CSV file. Once downloaded, you can manipulate the report for your own purposes using a spreadsheet application. For example, activities may be sorted by date, type, or user.
All audits that are run are retained for historic purposes. It is not possible to delete a previously run audit report*
* Future iteration of audits will cause the previously run reports to auto expire once they reach a 30 day age.
Downloading an audit report is also an audit-able action.
Types of reports to run:
Will detail in summary, downloads from the archive.
Will detail login activities: Example
Will detail activities relating to the creation and deletion of searches. Saved and unsaved searches will be reported.
Activities relating to the creation/editing of search lists are also part of the search specific audit
Details activity surrounding the application & removal of tags from assets in the archive.
Details activities in searches relating to placing or removing assets on hold as well as the creation of Hold Reasons
Details activities relating to any messages that have been selectively purged from your archive. This is a special feature that can only be enabled upon request with the submitter of the request fully understanding the consequences that could arise if you are a governed organisation.
Activities relating to users. Will include user creation, modification and deletion.
After Submitting the request
The request will be submitted to batch processing in the background, the page will refresh to the list of reports. A green banner will appear at the top to advise of your request being submitted successfully.
Depending on the size of the report to run, it may go into a pending state, whilst the data is collated, or the report may already be ready to download locally and review with an application that can display CSV files. It is not possible to review the report from the application itself.
To download the required audit, simply place your cursor over the blue download link and click to download locally.
